TrainLinc Privacy Policy

TrainLinc is a training and certification delivery platform operated by Orbiit Services Inc (“TrainLinc,” “we,” “us,” or “our”). This Privacy Policy describes how we collect, use, and share information when you use the TrainLinc website, coursework, and messaging services (together, the “Service”).

1. Information we collect

Information you or your sponsoring organization provide. When you are enrolled in TrainLinc — typically by your sponsoring fire department or other sponsoring organization — we collect your name, email address, mobile phone number, and your affiliation with that organization. If you opt in to text messages, we also record your SMS consent and its timestamp.

Training records. As you use the Service we record your enrollment, lesson progress, completions, and responses to in-lesson knowledge checks.

Information collected automatically. We collect standard technical information such as IP address, browser type, and access logs, and we use cookies that are strictly necessary to operate the Service (for example, session sign-in and security cookies). We do not use advertising or cross-site tracking cookies.

2. How we use information

To deliver coursework and operate the Service, including sending lesson links and sign-in links by text message or email;
To track and report training progress and completion;
To send service communications such as enrollment confirmations and reminders;
To provide support, secure the Service, and comply with legal obligations.

3. SMS / text messaging privacy

This section describes how we handle information in connection with our SMS/text messaging program.

We only use the mobile phone number and information you provide to deliver training messages (lesson links, reminders, enrollment confirmations) and to respond to you. We collect SMS consent at enrollment; this consent and your mobile opt-in data are not shared with any third parties or affiliates. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes.

We may share information with service providers (for example, our messaging platform and telecom carriers) solely to deliver these messages on our behalf. We may disclose information where required by law or to protect our rights.

4. How we share information

We do not sell personal information, and we do not share it for marketing or promotional purposes. We share information only:

With your sponsoring organization (for example, your fire department), which can see your enrollment, progress, and completion records for the training it sponsors;
With certifying authorities, where completion records are required as part of a certification process your organization has enrolled you in;
With service providers that host and operate the Service on our behalf (such as cloud hosting and message delivery providers), bound to use the information only to provide those services;
For legal reasons, where disclosure is required by law or necessary to protect the rights, safety, or property of TrainLinc or others;
In a business transfer, if TrainLinc or Orbiit Services Inc is involved in a merger, acquisition, or sale of assets, subject to this Policy.

All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

5. Data retention

We retain training and completion records for as long as needed to support your certification history and your sponsoring organization’s record-keeping obligations, and other personal information for as long as your account is active or as required by law. You may request deletion as described below.

6. Security

We use administrative, technical, and physical safeguards appropriate to the nature of the information, including encryption in transit, access controls, and hosting in United States data centers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your choices and rights

Text messages: reply STOP to any TrainLinc message to opt out at any time, or HELP for help. Opting out of SMS does not remove you from training your organization has enrolled you in — coursework remains available on the web.
Access, correction, deletion: contact support@trainlinc.com to request a copy of, correction of, or deletion of your personal information. Note that completion records reported to a certifying authority or your sponsoring organization may be retained by them under their own policies.

8. Children’s privacy

The Service is intended for adults enrolled through a sponsoring organization and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page with a new effective date, and for material changes we will provide additional notice through the Service.
